This Privacy Policy explains how The Clarity Project (“The Clarity Project,” “we,” “us,” or “our”) collects, uses, discloses, protects, and retains information when you visit myclarityproject.org, submit an interest form or question, participate in our career-transition program, make a donation, or otherwise communicate with us.
1. Scope
This Policy applies to information processed through this website and the website functions operated by The Clarity Project. It does not automatically govern third-party websites, payment gateways, social networks, embedded services, or other providers that have their own privacy practices.
2. Information We Collect
Information you provide directly
- Participant interest information: name, email address, optional phone number, and the information you enter in response to “Where are you in your career transition?”
- Questions and correspondence: name, email address, the question or message you submit, and subsequent communications with our team.
- Program-related information: information you voluntarily share when discussing participation, coaching, career goals, transition circumstances, or related support needs. Do not submit highly sensitive information unless it is necessary for the interaction.
- Donation information: donation amount, selected giving frequency when available, and information required by the ecommerce/payment checkout. Depending on the payment method, this may include billing name, email, billing address, transaction identifiers, payment status, and receipt information.
- Administrative or account information: if WordPress, WooCommerce, a payment provider, or another approved service creates an account or transaction record, information associated with that record may be processed as necessary to provide the service.
Information collected automatically
When you use the website, our hosting environment, WordPress, security tools, ecommerce tools, and other configured services may automatically process technical information such as IP address, browser and device type, operating system, approximate location derived from IP, referring URL, pages requested, timestamps, error logs, security events, and similar diagnostic data.
Anti-spam and security signals
Our public forms use technical safeguards that may process request timing, IP address, browser/user-agent information, security tokens, request origin, and rate-limit information. A hidden “Website” honeypot field is used to detect automated spam. Legitimate visitors do not need to complete that hidden field.
3. How We Use Information
We may use information to:
- respond to interest forms, questions, and requests;
- evaluate and administer participation in The Clarity Project;
- communicate about program logistics, coaching, sessions, or support;
- process donations, issue receipts, administer recurring gifts when available, and maintain transaction records;
- administer matching-gift calculations and campaign availability;
- operate, maintain, secure, troubleshoot, and improve the website;
- detect fraud, abuse, spam, unauthorized access, and technical problems;
- perform internal reporting, analytics, planning, and service improvement where enabled;
- comply with accounting, tax, legal, regulatory, recordkeeping, and nonprofit governance obligations;
- protect the rights, safety, property, and integrity of The Clarity Project, participants, donors, visitors, and others; and
- carry out other purposes disclosed when information is collected or with your consent.
4. Website Forms and Email Delivery
The current Clarity Project theme sends public interest-form and question-form submissions to the email address configured by the site administrator. The theme does not intentionally create a separate database table containing those public form submissions. However, copies may exist in recipient mailboxes, outbound-mail infrastructure, server logs, backups, security systems, or third-party email-delivery services used by the website.
Do not use the public forms to send passwords, full payment-card numbers, Social Security numbers, medical records, or other information that is not necessary for your request.
5. Donations, Checkout, and Payment Information
The donation page collects the amount of a proposed gift and, when enabled, the selected gift frequency before directing the transaction through the website’s ecommerce/payment flow. WooCommerce, the configured payment gateway, banks, card networks, wallet providers, and other transaction providers may process information necessary to complete the gift.
The theme is designed so payment-card data belongs to the payment gateway, not the theme. We do not intentionally ask you to send full card numbers through the public contact forms, and the theme does not include custom storage for full payment-card credentials.
We may retain transaction records such as donor name, contact information, amount, date, status, order/subscription identifiers, and receipt/accounting information as needed for donation administration, legal obligations, fraud prevention, accounting, reconciliation, and recordkeeping.
6. Matching Gifts
When a matching-gift opportunity is displayed, the website may calculate the amount eligible for a match based on the current matching pool and completed eligible donations. Matching availability may change as gifts are completed. Any sharing of donor information with a matching partner should be limited to what is reasonably necessary for the applicable campaign, accounting, confirmation, or legal obligations and is subject to any campaign-specific disclosures shown at the time.
7. Cookies and Similar Technologies
The website may use cookies or similar technologies that are necessary for WordPress administration, security, ecommerce/cart functionality, session continuity, preferences, analytics, or other configured services. The Clarity child theme itself does not create marketing cookies in its public JavaScript. Other active plugins, the WordPress parent theme, hosting/CDN systems, ecommerce services, analytics tools, embedded media, or integrations may set their own cookies.

8. Analytics and Interaction Measurement
The theme can optionally push privacy-limited interaction events to an existing website data layer when that feature is enabled. The theme does not itself install a third-party analytics account. If the site administrator enables analytics, tag-management, advertising, or similar services, those services may process device, usage, cookie, or event information according to their configuration and privacy terms.
9. When We Disclose Information
We may disclose information in the following circumstances:
- Service providers. To vendors that help us provide hosting, content delivery, security, email, backups, ecommerce, payment processing, accounting, analytics, forms, or technical operations.
- Payment and financial providers. To payment gateways, financial institutions, card networks, wallet providers, or related services needed to process a transaction.
- Professional advisers. To accountants, auditors, attorneys, consultants, insurers, or similar advisers when reasonably necessary.
- Legal and safety reasons. When we reasonably believe disclosure is required by law, legal process, regulatory request, fraud prevention, security, protection of rights, or protection of people or property.
- Organizational transactions. In connection with a merger, restructuring, financing, transfer of assets, or similar organizational event, subject to applicable law.
- With your direction or consent. When you request, authorize, or reasonably expect a disclosure.
We do not represent that donor, participant, or visitor information is sold as a business model. If a future technology or relationship changes the legal characterization of data sharing under applicable privacy law, this Policy and any required opt-out controls should be updated before or when that practice begins.
10. Data Retention
We retain information for only as long as reasonably necessary for the purposes described in this Policy, including participant communication, program administration, donation records, accounting, tax and nonprofit records, dispute resolution, fraud prevention, backups, security, and legal compliance. Retention periods can differ by category and system.
Form messages may remain in recipient email systems and backups after the immediate request is handled. Donation/order records may need to be kept longer for accounting, tax, reconciliation, audit, or legal purposes. Security logs are generally retained for a shorter operational period unless an incident requires longer preservation.
11. Security
We use administrative, technical, and organizational safeguards designed to reduce unauthorized access, alteration, disclosure, or destruction. Current theme safeguards include input sanitization, output escaping, WordPress security nonces, same-origin checks for public forms, honeypot spam detection, submission timing checks, rate limiting, capability checks for administrative actions, and use of established ecommerce/payment systems rather than custom card storage.
No website, network, email system, or storage system can be guaranteed to be completely secure. You are responsible for using appropriate care when transmitting information online.
12. Children’s Privacy
The Clarity Project website and career-transition program are directed to adults and are not designed for children under 13. We do not knowingly solicit personal information from children under 13 through the public program forms. If you believe a child has provided personal information, contact us so we can evaluate and address the request.
13. Privacy Rights
Depending on where you live and the laws that apply, you may have rights concerning your personal information. These may include rights to request access, correction, deletion, portability, restriction of certain processing, withdrawal of consent, or information about disclosures. Some jurisdictions also provide rights to opt out of certain targeted advertising, sale, sharing, profiling, or similar uses.

Some browsers provide privacy preference signals such as Global Privacy Control. Where applicable law requires recognition of a legally valid opt-out preference signal, we will take reasonable steps to honor that signal for processing subject to the requirement. The operation of third-party plugins or services must also be configured consistently with those obligations.

The website may be accessible outside the United States. If you access the site from another country, information may be processed in the United States or other locations where our service providers operate. Where required, we rely on lawful mechanisms and appropriate safeguards for cross-border processing.
